At most impact window dealerships, the quote ends up as the only complete record of the job. The customer’s name, the opening schedule, the rep’s notes and the photos all get folded into a pricing document. Then that document gets revised four times.

That works until somebody needs the job without the price. Examples: the installer who wants the opening schedule and the photos, the permit tech who needs the floor plan, or the office manager trying to work out which revision the customer actually signed.

We are designing the EWD suite around a different idea: a Customer Job File. It is one shared record of the customer and the job. It travels between apps, and it is never a price quote.

What goes in it

The Customer Job File keeps the customer, the openings, the photos, notes and drawings together in one record, with a clear history of changes. It never carries prices.

What stays out

Prices. A rep’s note that says “customer wants bronze frames” is product intent, not a line item. Pricing comes from the manufacturer’s own export, processed on the quoting desk. The job file never invents a number.

Why separate the record from the price

1. The price changes more often than the job

A customer drops two openings, swaps a slider for a French door, or asks for a cheaper glass package. Each change is a new quote. The house, the measurements and the photos mostly stay the same. When the record and the price are one document, every price revision risks quietly breaking the record.

2. Different people need different halves

The field rep builds the record. The quoter needs the record plus the factory file. Installers, permit runners and the customer need the record without your margin on it. A separate job file lets each person get the right half without anyone retyping it.

3. Versioning only works on one record

“Which measurements did we quote on?” should have one answer, and with one record and a clear history of changes, it does.

How it moves through the suite

  1. Aperture™ captures the openings, measurements, photos and conditions on site.
  2. EyeWall™ turns that capture into the floor plan and takeoff, and adds them to the file.
  3. Quote Converter Pro™ brings in the job, and the price comes from the manufacturer’s own numbers.
  4. The floor plan, customer details and photos stay attached to the quote that comes out.

Status: the Customer Job File format is being defined now.

Do this today, with or without software

You don’t need our software to start working this way. Keep one folder per job that holds the opening schedule, photos and drawings, and treat it as the record. Keep quotes in a separate folder that refers back to it. Then when someone asks “what did we measure?”, you look in one folder instead of opening the latest quote.
